Voice Mail

    Voice Mail Set Up

     


    • Dial *9 from your phone line; the tutorial guides you to

      • Create a new personal pass code:

        • PIN must be four to twenty digits long

        • Cannot be a sequence of numbers (1,2,3,4)

        • Cannot be the last four digits of the phone number

      • Record a name announcement

      • Record a personal greeting or select a standard greeting options

        • To update future greetings, press 3 from the greetings menu

    Check Messages from Home


      • Dial *9 or your telephone number

      • At the prompt, enter your PIN

      • Follow the prompts to access your messages

     

    Check Messages When Away from Home


      • Dial your telephone number

      • Press the star (*) key during the recorded greeting

      • At the prompt, enter your PIN

      • Follow the prompts to access your messages

     

    Voice Mail Commands


      • When listening to messages, follow these commands

        • Save a message: press 2

        • Fast-forward 5 seconds: press 99

        • Rewind 5 seconds: press 77

        • Keep the current message and skip to the next message: press #

        • Delete a message: press 3

        • Reply to a message: press 4

        • For helpful hints: press 0

         

     

    Delete a Message Permanently


      • When pressing 3 to delete a message, it is moved to a folder

      • If the folder is not emptied, the mail box may say it is full

      • To permanently clear a deleted message:

        • Log into your voice mail as normal

        • Choose option 6 to Play deleted messages

        • Press 3 to delete a message permanently

     

    Reset PIN

     

    Change Number of Rings to Voice Mail


      • Change the number of rings in the Phone Portal

        • Click Settings tab

        • Click Messages tab

        • Under General, increase the number of rings by increasing the seconds

        • Click Apply

          • One ring = 6 seconds

        • Create a new passcode:

          • PIN must be four to twenty digits long

          • Cannot be a sequence of numbers (1,2,3,4)

          • Cannot be the last four digits of the phone number

      • Record a name announcement

        • Record a personal greeting or select a standard greeting options

      • To update future greetings, press 3 from the greetings menu

      • Follow tutorial to set up additional mail boxes

       

     

    Handling Messages


      • To check your messages, press 1

        • Repeat Message: Press 1

        • Save As New: Press 2

        • Delete Message: Press 3

        • Reply to Message: Press 4

        • Send a Copy: Press 5

        • Leave as Saved: Press #

      • To send a message, press 2

        • Enter a phone number, or a group list number, then press #

          • A group list is a list of contacts that has been previously created

          • It will allow you to send one message to a group of phone numbers

        • To Exit : Press **

     

    Change Greeting


      • To change your greeting, press 3; these options become available

      • Set Up a Personal Greeting, press 1 (tutorial walks you through set up)

      • To select system generated greeting or change the recording of your name: press 3

        • To choose type of system greeting: press 1; select one of the following:

          • system generated greeting with recorded name: press 1

          • system generated greeting with phone number: press 2

          • system generated greeting without name or number: Press 3

          • To exit: press *

      • To review / re-record your name: press 2

        • To make a new recording: press 1

        • Exit: press *

        • Exit: *

      • Work with the greeting that callers hear when your line is busy: press 5

        • This walks you through recording a greeting for busy

      • Exit: press *

     

    Change Mailbox Settings


      • To change mailbox settings, press 4

      • To work with Group Lists: press 1

        • Add a Group List: press 1

        • Edit/delete a Group List: press 2

        • Review Group Lists: press 3

        • Exit : Press *

      • Hands Free / Time Saver options: press 2

        • Change Auto Play Settings: press 1

        • Turn Auto Play off / ON: press 1

        • Exit: press *

        • Change Settings for Urgent Messages: press 2

          • Turn Auto Play OFF / ON: press 1

          • Exit: press *

      • Change Voice Mail Preferences: press 3

        • Change voice mail preferences for voice mail headers: press 1

          • Turn headers off / on: press 1

          • Exit: press *

        • Change Voice Mail Preferences for Voice Mail Bodies: press 2

          • Turn Voice Mail Bodies OFF / ON : Press 1

          • Exit : Press *

        • Exit: Press *

      • Security Settings: press 3

        • Change PIN: press 1

          • Enter a new PIN between 4-6 digits. Press # when done

        • Change Fast Login Feature: press 2

          • This will toggle entering your phone number when calling from another phone number off / on: press 1

          • Exit: press *

        • Skip PIN Feature: press 3

          • Turn PIN entry off / on: press 1

          • Exit: press *

        • Exit: press *


     

    Group Mailbox Options


      • For Group Mailbox Options, press 4

        • To enable a secondary mailbox: press 1

          • Press 1 to enable the mailbox. It will tell you which mailbox key it is: 1-8. Select the key for the mailbox

            • Enable: press 1

            • Exit: press *

        • Disable a Secondary Mailbox: press 2

          • The system will read off the mailbox keys, press the key for the mailbox you want to delete

            • Disable: press 1

            • Continue to additional mailboxes: press #

            • Exit: press *

        • Add a Secondary Mailbox: press 3

          • After a secondary mailbox has been added, you will be given the key. To repeat, press 1

          • Add up to 8 secondary mailboxes

        • Delete a Secondary Mailbox: press 4

          • The system reads off the numbers for each mailbox key. Press the key for the mailbox you wish to delete

          • Delete: press 1

          • Continue through mailboxes: press #

          • Exit: press *

        • Exit: press *

     

    Notification and Additional Settings


      • Notification Settings: press 4

        • Message Waiting Indicator off/on: press 1

        • Exit: press *

      • Additional Settings: press 6

        • Language Selection: press 3

          • To change current language: press 1

          • When you hear the language you want: press 1

          • Skip to the next language: press #

          • Go back to the previous language on the list: press 2

          • Exit: press *

        • To change the language that callers hear when they reach your voice mail: press 2

          • Exit: press *

        • Broadcast Options: press 4

          • Marketing Broadcasts off/on: press 1

          • Exit: press *

        • Get Deleted Messages: press 6

        • Leave and Login to New Mailbox: press 7

        • Help: press 0

          • Skip Topics: press #

          • Restart Hints Section: press 1

     

    Work with Secondary Mailboxes


      • To check new messages in mailbox: press 7

        • To login as mailbox 1: press 1 (mailbox 2: press 2, etc.)

      • Setting up Sub-Mailboxes:

        • Create PIN

        • Record Name

          • To change recording: press 1

          • If alright: press #

        • Select Greeting

          • Personal greeting: press 1

          • System greeting with name: press 2

          • System greeting with phone number: press 3

          • System greeting without name and number: press 4

        • The Sub-Mailbox is now set up
